Overview

We are seeking a talented and organized Travel and People Operations Coordinator to join our team! The Travel and People Operations Coordinator would be responsible for managing company travel, HR administrative and clerical tasks, and ad hoc projects. Travel and People Operations Coordinator will arrange business travel for employees, manage our company travel platform and identify the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations. Must be able to work a full-time job, onsite once a week in NYC Financial District.

 

 

Responsibilities

  • Ensure travel arrangements are within approved travel reasons and budget limits, makes all arrangements and reservations as requested
  • Clearly and accurately communicates travel policies and travel arrangement updates to appropriate staff
  • Manage company travel platform, Egencia, to book all NDR corporate travel requests ensuring backend setup of system supports NDR travel policies
  • Create new team member travel accounts and provides necessary welcome information to new travelers
  • Partners with team members to provide insight on travel guidelines for events
  • Provide input and feedback to streamline and optimize travel function and travel policy
  • Liaise with accounting and payroll to account for company’s travel expenses via monthly and weekly reports. Provide ad hoc reports as necessary
  • Obtains approval from leadership for travel requests and expenses that exceed established limits
  • Coordinate hotel room block contracts for company-wide events
  • Coordinate event and travel logistics for People Team and Senior Leadership team on-sites and offsites
  • Assist with People Team dinner reservations
  • Maintains organized documentation and travel related documents on SharePoint
  • Performs other related duties as assigned

People Administration

  • Manage People Inbox
  • Document uploads to HRIS system (ADP Uploads)
  • Scan and distribute mail to relevant parties
  • Assist PE Operations team with ad hoc project and administrative tasks

Qualifications

  • Excellent verbal and written communication skills
  • Strong working knowledge of the travel industry
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal
  • Proactive in identifying and preventing potential problems
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office Suite or related software
  • Strong Microsoft Office skills - Excel, PowerPoint, and Word
  • Eager to learn and assist all team members when needed
  • Excellent written and verbal communication skills
  • Organized, proactive and extremely detail-oriented
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation
  • Basic understanding of employment law
  • Highly skilled at multitasking, prioritizing and working in a fast-paced and constantly changing environment
  • Must be able to work a full-time job, onsite once a week in NYC Financial District
  • The employee is expected to be punctual and ready to report to work on a consistent basis
  • The employee will be exposed to a fast-paced environment and is expected to be able to adjust accordingly

Compensation Information

Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for each position across the US. Within the range, individual pay is determined by work location, job-related skills, experience, and relevant education or training. This good faith pay range is provided in compliance with NYC law and the laws of other jurisdictions that may require a salary range in job postings. The salary for this position is $55K-$67K
